Business Case

The Office of the State Inspector General (OSIG) is a leading provider of professional internal audit, finance, and information technology security training in the Commonwealth of Virginia. Part of OSIG’s mission in support of agency internal auditors is to offer cost-effective programs of study that provide continuing professional education credits. 

The work required for managing sponsored courses, instructors, class registrants, collecting payments, and tracking participation data for reporting purposes was arduous and time consuming. The agency leveraged an outdated online registration service provided by a sister agency on a separate website that was slated retirement. The process of establishing user access through a different website, then selecting and registering for classes was awkward and confusing for end users and burdened the agency with additional customer service. Many manual processes were also necessary. Managing registrants, collecting fee payments, printing course deliverables, performing reconciliation tasks, and extrapolating information for reporting purposes were all performed by agency staff. The resulting inefficiencies and the need to sunset an obsolete registration service made clear the need for OSIG to implement a new convenient and consolidated solution to fulfil its course registration needs.


The Solution

In July 2015, OSIG partnered with VI to streamline its training program and class registration process by launching a new mobile friendly online auditor training portal. Auditors can now easily search and register for training courses, make payments, and track their education certifications online.  The Auditor Training Portal also has an administrative component that is providing significant efficiency gains for the office. Vastly improved capabilities include the ability to manage course and instructor information, track registrations and class activity, view reports, deliver automated messaging and reminders, and conveniently generate printed course materials and certificates.

The ​Results

  • Eliminated Printed Forms and Certificates – electronic form submission and user-printed certificates eliminate the need for the agency to pre-print course evaluation forms and course completion certificates.  
  • Improved Data Accuracy and Reporting – Automated form submissions eliminate the need to manually re-enter and tally data thereby improving accuracy in reporting and end-of-year analysis. 
  • Simplified Customer Experience – In addition to a single convenient location to search and register for courses, users now have the ability to retrieve and reprint course certifications as necessary through the self-service training portal. 
  • Efficiency Gains - with automated tracking, data processing, and reporting; OSIG is realizing significant efficiency gains and reduced work effort.
